What we do with information, and why an on-premise deployment means your access records never reach us at all.

This policy explains what Source Code Tech Solutions W.L.L does with personal information in connection with the MeetPass website and the MeetPass platform. The two are deliberately separate, and the distinction matters: for most of what MeetPass does, we are not the party that decides what happens to your data — our customer is, and in an on-premise or air-gapped deployment we never hold it at all.
1. Who we are
MeetPass is a product of Source Code Tech Solutions W.L.L, a company registered in the State of Qatar with its office at Building 11, Zone 53, Street 744, Doha, Qatar. In this policy, "we", "us" and "our" mean Source Code Tech Solutions W.L.L.

2. What this policy covers
This policy covers personal information we collect through this website — for example when you submit an enquiry, request a briefing, ask for pricing or download material.
It also explains, in section 9, how personal data is handled inside a deployed MeetPass platform, because our role there is different and more limited.
It does not form part of any contract for the MeetPass product. Where you have a signed agreement with us, that agreement and its data-processing terms govern the product.
3. Controller and processor — the distinction that matters
Data-protection law separates the party that decides why and how personal data is used (the controller) from the party that only acts on instructions (the processor). MeetPass sits in different roles depending on the context:

If you are a visitor, guest, tenant or event attendee whose details were entered into a MeetPass deployment, the organisation that invited you is the controller of that record — not us. Requests about that data should go to them. We will help them respond, but we cannot act on their data without their instruction, and in an on-premise deployment we have no access to it at all.
4. Information we collect through this website
Information you give us
- Contact and enquiry details you submit — name, organisation, role, work email, country, sector and your message
- Pricing and scoping details you select in the quote builder — buyer type, platform parts, pass types, scale, deployment model and add-ons
- Any additional context you choose to include in a message or attachment
- Recruitment information you send to us, including your CV and the role you are applying for
Information collected automatically
- Standard server log data such as IP address, browser type, pages requested and timestamps, used to keep the site available and secure
- Limited preference data stored in your own browser, such as a remembered language or theme — this stays on your device
We do not ask for, and ask that you do not send us, national identity numbers, passport scans, payment card details or other sensitive personal data through this website.
5. Why we use it, and on what basis
- To respond to you — answering enquiries, arranging briefings, preparing a scoped price and sending documentation you requested. Basis: to take steps at your request and our legitimate interest in responding.
- To assess job applications — reviewing your CV and corresponding with you about a role. Basis: steps taken at your request prior to employment.
- To keep the site secure and working — detecting abuse, diagnosing faults and protecting against unauthorised access. Basis: our legitimate interest in operating a secure service.
- To meet legal and regulatory obligations — where we are required to retain or disclose information by law. Basis: compliance with a legal obligation.
We do not use your enquiry details for automated decision-making, and we do not profile you.
6. Who we share it with
We do not sell, rent or trade your personal information. We share it only in these circumstances:
- With service providers who host our infrastructure or deliver our email and messaging, acting under contract and only as needed to provide those services
- With professional advisers where we need legal, accounting or audit advice
- Where required by law, regulation, court order or a lawful request from a competent authority in Qatar
- With your consent, or at your direction
Enquiries from government bodies, defence organisations and diplomatic missions are treated as confidential and handled on a need-to-know basis internally. Where appropriate, documentation is exchanged under a non-disclosure agreement.
7. Where your information is held, and for how long
Website enquiry data is held on infrastructure located in the State of Qatar, or on services operated under contractual protections consistent with Qatari law. Where any transfer outside Qatar is necessary, we take steps to ensure a comparable level of protection.
- Enquiries and briefing requests — retained while we are in contact with you and for a reasonable period afterwards for business-record purposes, then deleted
- Recruitment material — retained for the duration of the recruitment process, and afterwards only if you agree to us keeping it on file
- Server logs — retained for a short operational period and then discarded or aggregated
You can ask us to delete your details at any time, and we will do so unless we are required to keep them.
8. How we protect it
We apply the same principles to our own systems that we build into the product: access limited by role, encryption in transit and at rest, logging of administrative actions, and least-privilege handling of anything sensitive.
9. Personal data inside a MeetPass deployment
When an organisation deploys MeetPass, the platform processes personal data about the people who interact with that organisation's premises and meetings — for example a visitor's name and contact details, an identity document read at registration, a vehicle plate, an entry and exit record, or attendance against a meeting.
In every case, the deploying organisation determines what is collected, why, who may see it and how long it is kept. Our role is set by our agreement with that organisation:
- In a managed or private-cloud deployment we act as processor, on documented instructions, with confidentiality, security and deletion obligations set out in that agreement
- In an on-premise or air-gapped deployment the data does not leave the customer's environment and we do not receive it — support is provided without access to operational records unless the customer explicitly grants it for a specific purpose
- The platform's audit trail is append-only and tamper-evident by design, which means neither the customer nor we can silently alter a historic record
To exercise rights over a record created when you visited a site, contact the organisation that hosted you. They hold the record and the authority to act on it. If you are not sure who to approach, write to us and we will point you in the right direction.
10. Your rights
Under the Personal Data Privacy Protection Law of the State of Qatar (Law No. 13 of 2016) and comparable frameworks, you have rights over personal data we hold about you as controller. These generally include:
- Asking what personal data we hold about you and obtaining a copy
- Asking us to correct information that is inaccurate or incomplete
- Asking us to delete information we no longer have a reason to keep
- Objecting to processing we carry out on the basis of legitimate interest
- Withdrawing consent where our use is based on your consent
- Complaining to the competent supervisory authority in Qatar
To exercise any of these, write to info@meetpass.com. We will respond within the period required by applicable law, and will not charge you for a reasonable request.
11. Cookies and similar technologies
This website is built to work without tracking you. We do not use advertising cookies and we do not share your browsing behaviour with advertising networks.
Where the site remembers something for you — a language choice or a display preference — that value is stored in your own browser and is not transmitted to us. You can clear it at any time through your browser settings.
12. Children
This website is intended for business and institutional audiences and is not directed at children. We do not knowingly collect personal information from anyone under 18 through this site. If you believe a child has provided us with information, write to us and we will delete it.
13. Changes to this policy
We may update this policy as the product, our infrastructure or the applicable law changes. The date at the top of this page shows when it was last revised. Where a change materially affects how we handle information you have already given us, we will take reasonable steps to tell you.
